The Payroll Specialist is a key member of the HR team responsible for delivering an exceptional employee experience through the provision of timely and accurate payroll activities and benefit/pension administration services. This position will adhere to internal procedures and deadlines to ensure payroll activities are delivered on-time and in compliance with associated regulations, legislation, and internal standards. Additionally, the Payroll Specialist will troubleshoot issues and provide technical expertise and guidance for internal stakeholders. This position also recommends changes to processes, forms, and workflows. to improve operational effectiveness.

Responsibilities

  • Administer semi-monthly and weekly payrolls, including accurate and timely processing.
  • Communicate payroll information and updates to employees and the internal team while obtaining relevant information and approvals required for payroll processing.
  • Address and resolve any employee inquiries regarding payroll deposits.
  • Responsible for collecting, reviewing, and uploading timesheets into the DayForce payroll system.
  • Accountable for full-cycle payroll responsibilities including after pay; monthly; quarterly and year-end reporting.
  • Maintain accurate and organized payroll records, ensuring confidentiality and security of sensitive information.
  • Ensure all transactions for payroll, pension, and benefits from new-hire to termination/retirement are submitted and processed accurately within the required deadlines.
  • Review all payroll and benefits-related submissions to ensure accuracy (payroll runs, tax remittance, taxable benefit recording, invoices, benefit enrollments).
  • Responsible for group benefits administration (e.g., monthly premium remittance statements, reports).
  • Manage and deliver attendance & leave reporting; calculate entitlements and year-end vacation payouts.
  • Support the year-end reconciliation process and the timely submission of all payroll regulatory filings and production of tax-related forms.
  • Responsible for producing payroll reports on core HR processes (i.e. absences, pay information, headcount and attrition).
  • Work closely with members of the HR team on any employee and project initiatives.
  • Continuous learning through NPI and other courses (annual legislative updates, seminars, etc.).
  • Identify process improvement opportunities and document current work processes and workflow.

Qualifications

  • University degree or College diploma required
  • PCP designation from the National Payroll Institute (NPI) required
  • 3 years of hands-on progressive full-cycle payroll experience
  • Ceridian DayForce or equivalent system experience is required
  • Business acumen and understanding of organizational structures and functions
  • High level of integrity, ethics, and professionalism with the demonstrated ability to ensure confidentiality and protection of employee data and other sensitive information
  • Customer-service mindset, committed to delivering exceptional service to management and team members
  • In-depth knowledge of Canadian federal and Ontario provincial payroll regulations
  • Strong working knowledge of payroll-related tax legislation and employment standards (payroll source deductions, EHT, statutory holidays, overtime etc.)
  • Strong proficiency with Microsoft Office, specifically Excel, including V-lookups and pivot tables and formulae
  • A positive attitude with a desire to provide an excellent impression in each interaction

  • A collaborative approach to understanding issues and coming up with solutions
  • Strong interpersonal skills, the ability to interact with all levels of employees with diplomacy
  • Excellent verbal and written communications skills
